Equipment loans: texts A to D
These local procedures belong to the fictional Alder Community Equipment Service.
Text A: requesting a loan
A clinician sends a loan request through the service portal. The request must include the delivery address and a contact telephone number. Before sending it, the clinician checks that the person agrees to the loan. Requests received before 2pm are assessed that working day. Later requests are assessed on the next working day. Assessment does not confirm a delivery date. The booking team contacts the person after the request has been accepted.
Text B: collection arrangements
Small items can be collected from the depot by appointment. Collection appointments run from 9am to noon, Monday to Friday. The collector brings the booking reference. A relative collecting on someone’s behalf must also bring written permission from that person. The depot has step-free access through the side entrance. Staff demonstrate how the item folds before it leaves the depot. Items too large for a car are booked for home delivery.
Text C: home delivery checklist
The booking team confirms a 2-hour delivery window by telephone. Someone must be present throughout that window. The driver places the item in the agreed room. Drivers cannot move existing furniture, so the route and space must be clear beforehand. If nobody answers, the driver leaves a contact card and returns the item to the depot. The person must telephone the booking team to arrange another visit. Delivery staff do not leave items outside.
Text D: problems and returns
If an item is damaged, stop using it and contact the repairs desk. Give the asset number printed on the blue label. Do not attempt a repair at home. The repairs desk decides whether a replacement is needed. For an item that is no longer needed, contact the returns team. They arrange collection within 5 working days. Keep the item indoors until collection. Returned items go to the cleaning area before anyone assesses them for another loan.
